Appointment reminders by SMS and WhatsApp: goodbye to no-shows

Every appointment a customer misses is lost money and a wasted slot. An appointment reminder by SMS or an appointment notice by WhatsApp sent 24 or 48 hours before, with the option to confirm or reschedule, reduces no-shows. We do not publish a specific improvement figure: percentages circulate on the internet with no study behind them, and the result depends on your sector, your lead time and your text. Measure it in your own diary, which is the only figure that counts.

It works just as well for the medical appointment reminder SMS in clinics and practices, vehicle collection at garages, table bookings, physiotherapy sessions or hair appointments. Schedule the send from the dashboard with variables ({nombre}, {fecha}, {hora}) or trigger the reminder from your booking software through the API.

  • Clinics and health centres: reminder with confirmation and a reusable slot.
  • Garages: service appointment notice and vehicle ready for collection.
  • Hair and beauty salons: reminder the day before with an option to change.
  • Customer reply recorded: the confirmation comes in by WhatsApp or Telegram and is saved on their record.

Invoicing and collections

Payment and invoicing notices: the payment reminder that does get read

Letters get lost and “outstanding invoice” emails sleep in spam. A payment notice by SMS is read within minutes and a payment reminder by WhatsApp also lets you include the payment link or the invoice PDF. It is the most effective tool for friendly debt collection: it recovers unpaid amounts without damaging the relationship with the customer.

Automate the whole sequence from your ERP or invoicing software through the API: a reminder before the due date, a notice on the day of the charge and a staggered debt reminder afterwards. Every message is recorded with its delivery confirmation: full traceability of the collection process for your accountants or your legal department.

  • Returned direct debit notice with a link to settle the payment online.
  • Due-date reminder for fees, rents and subscriptions.
  • Invoice available notice with notification of a new document.
  • GDPR compliance: operational communication to the debtor, recorded and auditable.

Why SMS beats email in debt collection

The average debtor ignores email but opens SMS: the right channel shortens payment times. You can try WhatsApp first (€0.005 in the utility category, plus whatever Meta bills you) and finish with SMS if it does not arrive: that is two calls from your backend, chained with the status webhook. The platform does not switch channel on its own.

  • Delivery confirmed message by message (DLR).
  • Templates with amount, due date and payment link.
  • Exportable history as evidence for the claim.
Logistics and delivery

"Your order arrives today": shipping and delivery notices that avoid calls

The question that most swamps your customer service is always the same: “where is my order?”. A delivery notice by SMS or a shipping notice by WhatsApp at each delivery milestone eliminates it: order confirmed, being prepared, out for delivery with a time slot, and delivered.

Connect your ecommerce, your TMS or your routing software through the API and let the statuses flow on their own. Intermediate milestones can go by Telegram at €0.010 for customers who have started the conversation with your bot —Telegram does not allow writing to a number, as SMS does—, and the critical delivery notice by SMS or WhatsApp: maximum coverage at minimum cost.

  • Delivery time slot: “your order arrives today between 10:00 and 12:00”.
  • Collection notice for a shop or pick-up point with a collection code.
  • Delivery incidents: not at home, wrong address, retry scheduled.
  • Status webhooks: your system knows in real time whether the notice was delivered.

Security and user sign-up

OTP verification and user sign-up: codes by SMS, WhatsApp or Telegram

Verifying the phone number at registration eliminates fake accounts, reduces fraud and leaves you a real contact detail. Send OTP codes by SMS (works on any mobile phone, no app), by WhatsApp with an authentication template (€0.005) or by Telegram at €0.010 for users already linked.

SMS verification (2FA) also protects log-ins, the confirmation of operations and changes to sensitive data. With the SMSverifica API you generate and send the code with one call, and idempotency guarantees that a network retry never duplicates the send or the charge.

  • Verified user sign-up: a real phone number from day one.
  • 2FA by SMS at log-in and for critical operations.
  • Retry through another channel: if the SMS does not get through, your backend repeats it by WhatsApp or Telegram with a second call.
  • Sandbox mode at no cost: test the complete OTP flow without spending balance.

IT and monitoring

System alerts: make the critical ones wake someone up

When a server goes down at 3 in the morning, an email wakes nobody up. Integrate your monitoring (Zabbix, Grafana, Nagios, your own scripts) with the SMSverifica API and send critical alerts by SMS to the on-call phone and the rest of the noise — deployments, backups, capacity warnings — by Telegram at €0.010 to the team channel.

  • Alerts by Telegram at €0.010: the cheapest channel for system noise.
  • Escalation by SMS if the alert is not handled: SMS arrives with no data and no app.
  • Idempotency: your monitor's retries do not duplicate alerts.
  • Configurable rate limit per account: an alert storm will not burn through your balance.

Connect your monitoring Telegram for business →

Recommended pattern: Telegram first, SMS as a backup (from your backend)

Send by Telegram to whoever has the bot active and, when the API responds telegram_no_chat_id or the webhook says message.failed, repeat the send by SMS. The bulk of your technical notifications will cost €0.010 each and the critical ones will still arrive, even if the recipient has no data coverage. Your backend decides the channel switch: the platform's routing rules choose a provider within a channel, they do not switch channel.

Campaigns and promotions

Promotional marketing by SMS and WhatsApp in line with the LSSI

SMS marketing reaches any mobile phone without an app and is read within minutes, and WhatsApp marketing adds images, buttons and conversation. Launch promotions, sales, cart recovery and reactivation campaigns from the dashboard: upload your Excel file, personalise with variables, schedule the time and check the cost estimate before you confirm.

Compliance is up to you and we make it easy: prior consent (art. 21 LSSI) and a one-click opt-out link in every campaign with {BAJA}. Whoever opts out goes onto your opt-out list and campaigns always leave them out, at no cost; if someone asks you by phone or replies “BAJA”, you add them to that list yourself. Our manual approval of accounts keeps the routes clean: your campaigns do not compete with spam.

  • Cart recovery by SMS/WhatsApp with a direct link to checkout.
  • Flash promotions scheduled for the time with the highest conversion.
  • Segmentation by contact lists and statistics per campaign.
  • History of every message with status, date and cost, exportable to CSV.

Cost estimate before sending

Every campaign calculates its exact cost according to the country of each phone number and the WhatsApp category before you confirm. No nasty surprises: if the balance does not cover the send, the platform blocks it and tells you clearly. See the SMS rates by country and WhatsApp rates by category.

Sister platform · QRACCESO

QR access control: tickets, visitors and capacity with integrated messaging

QRACCESO is the QR access control platform from the same team as SMSverifica: online and offline ticket validation, visitor management, real-time capacity control and event accreditation. Together they do what no closed suite does: every QR code travels by SMS, WhatsApp or Telegram and every access can generate a notification.

Sending the access code or QR by SMS and WhatsApp

Generate the access QR in QRACCESO and send it automatically through the channel each attendee prefers: QR ticket by WhatsApp with the image embedded, access code by SMS with a link, or Telegram at €0.010. Ideal for event access, trade fairs, conferences, training sessions, community swimming pools and residential complexes.

  • Tickets and accreditation by messaging: no printing, no lost emails.
  • Event reminder the day before with the QR resent: fewer queues and fewer incidents at the door.
  • Temporary access codes for visitors, contractors and suppliers.
  • Online and offline validation with duplicate QR alerts and real-time capacity control.

Visitor notifications and security alerts in real time

Access control does not end at the door: someone has to be told. With the SMSverifica + QRACCESO integration, every access event can trigger a message:

  • Visitor notification at the door: the host receives a WhatsApp or Telegram message when their visitor registers at reception.
  • Security alerts: duplicate QR, access denied or an attempt outside opening hours, instantly on the door staff's Telegram (€0.010).
  • Capacity alerts: an automatic notice to the organiser when 80% or 100% of the permitted capacity is reached.
  • Visitor register at reception with exit confirmation and full GDPR traceability.

All with the same prepaid balance model and the same support in Spanish: two platforms, one provider, zero friction.

Sister platform · ACCESSTIME

Time tracking and working-hours records: clock-in notices that avoid penalties

ACCESSTIME is the employee time-tracking and working-hours record solution of the SMSverifica ecosystem. Because recording working hours has been mandatory in Spain since 2019 (Royal Decree-Law 8/2019) — and the digital time-recording reform under way will demand even more rigour — but no clock-in system works if employees forget to clock in. That is where messaging comes in.

Forgotten clock-in notices by SMS, WhatsApp or Telegram

The use case no other provider covers: if an employee has not clocked in at start time, ACCESSTIME automatically triggers a clock-in notice to their phone through the configured channel. The employee clocks in from the link — even with QR clock-in — and the record is complete before it becomes an HR incident.

  • Forgotten clock-in notice at the start, at the end and after breaks.
  • Clock in with a QR code at work: the clock-in QR arrives by WhatsApp or Telegram, with no app to install.
  • Working-hours records when teleworking: the notice arrives just the same remotely, with clock-in from the phone.
  • Reminder to latecomers before the monthly report closes: fewer incidents to correct by hand.

HR reminders and shift notifications for staff

The same messaging engine handles day-to-day HR communication, with Telegram at €0.010 for staff who already follow the bot and SMS to reach any mobile phone without prior permission:

  • Shift notifications: rota publication, changes and urgent cover.
  • HR reminders: medical check-ups, mandatory training, submission of documents, certificate expiry.
  • Internal announcements to all staff or by workplace, with delivery confirmation.
  • Documented compliance: working-hours records are kept for 4 years; so are the notices sent — full traceability for the Labour Inspectorate.

If you are looking for an app to clock in at work that also talks to your employees, the ACCESSTIME + SMSverifica combination handles clock-ins and messaging with the same balance.

Document signing

And when the customer has to read and accept something

Consent forms, quotes, authorisations, rental contracts, engagement letters: signed on your tablet or on their mobile, with a PDF receipt. There are more than 30 use cases, each with its configuration, and how to try it in ten minutes.

Frequently asked questions about messaging use cases

How does QR access control work?

Each person receives a unique QR code with limited validity; at the door it is validated in real time (online or offline) with duplicate QR alerts and capacity control. With QRACCESO and SMSverifica the QR is sent by SMS, WhatsApp or email, and the organiser receives notifications of every access.

Is recording working hours mandatory in Spain?

Yes, since 12 May 2019 (Royal Decree-Law 8/2019) all companies must record their employees' daily working hours and keep the records for 4 years. In addition, the digital time-recording reform under way plans to require digital systems accessible to the Inspectorate. Clock-in notices by SMS, WhatsApp or Telegram help make sure no employee forgets to clock in.

How much does an appointment reminder by SMS or WhatsApp reduce no-shows?

A reminder with the option to confirm or reschedule reduces no-shows —that is why it is common practice in clinics and medical centres—, although the percentage depends on the sector and the audience. What is a figure of ours: at a cost of €0.039 per SMS to Spain, the reminder pays for itself by avoiding a single missed appointment.

Is it legal to send payment reminders by SMS or WhatsApp?

Yes: payment notices to your own customers are operational communications arising from the contractual relationship, not advertising. They must be truthful, addressed only to the debtor and comply with the GDPR. SMSverifica records every send with its delivery status, which is useful as traceability for friendly debt collection.
